Rockfield Property Services is a building and property maintenance firm based in Monmouth, Monmouthshire, established in 2004. We are the controller of the personal data you give us, which means we decide what happens to it and we are responsible for looking after it.

When you fill in the form on this site, or ring or email us, we collect:

• Your name, phone number and email address, so we can get back to you.
• What you tell us about the job: what needs doing, where it is, and anything else you say in the conversation after the form.
• Any photographs you choose to send us of the work.
• Where you arrived from, if you came through a link in an advert, so we know which adverts are worth paying for.

We do not ask for anything else, and nothing on this site asks you to create an account or set a password.

To answer your enquiry, come out and look at the job, price it, and carry out the work if you go ahead. In data protection terms that is our legitimate interest in running a building firm, and once you accept a quote it is what we need to perform our contract with you.

We do not send marketing emails, and we do not sell or rent anybody's details to anyone, ever.

The form is part of our own job management system, Foreman, which is where your enquiry lands so nothing is lost in an inbox. After the form takes your name and number it asks a few questions about the work, the way we would on the phone.

Those questions and answers are handled by an AI service, OpenAI, which reads what you have written so it can ask a sensible next question and write the job down accurately. Your messages are sent to OpenAI for that purpose only. Under their terms for business customers they are not used to train their models.

If you would rather not use the form, ring or email us instead and we will take the details ourselves.

This site sets no advertising or tracking cookies, and there is no cookie banner because there is nothing to consent to.

The form does remember your conversation for a day, so that if your phone rings or you close the tab you can come back and carry on rather than start again. That is kept in your own browser on your own device, not on our servers, and clearing your browsing data removes it.

Brian and the team, to do the work. Beyond that, only the companies that run the software this site and our system are built on: our website host, our database and file host, and the AI service described above. They act on our instructions and are not allowed to use your details for their own purposes.

We will share your details if the law requires it, for example in response to a court order, and that is the only other exception.

An enquiry that does not become a job is kept while we might reasonably still hear from you, and then deleted. Where we have carried out work, we keep the record of the job for as long as we may need it for tax, insurance and any guarantee on the work.

You can ask us to delete your details at any time, and we will unless we are required to keep them.

You have the right to ask us for a copy of what we hold about you, to have it corrected if it is wrong, to have it deleted, to object to what we are doing with it, and to ask us to restrict how we use it. Just ask, by phone or email, and there is no charge.

If you are not happy with how we have handled your details, tell us first and we will try to put it right. You can also complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.

Our Checkatrade, TrustATrader and Facebook pages are linked from this site. They are run by those companies, not by us, and what they do with your details is covered by their own privacy policies.

If what we do with your details changes, this page changes with it, and the date at the top changes too.
